Privacy Policy
How Techni-Cope Systems handles the personal information you give us, and the rights you have over it.
THE SHORT VERSION
- We collect only what we need to price, sell, build, deliver and support a machine: your name, company, contact details, location, what you configured, and what you tell us.
- We never sell or rent your information. We share it only with the people and services we need to do the work, listed below.
- You can ask us at any time what we hold about you, ask us to correct it, or withdraw your consent.
- By accepting this policy you also accept our Warranty & Terms of Sale, including the agreement to use the warranty and service process to its full extent before taking any other step.
1. WHO WE ARE
Techni-Cope Systems designs and builds CNC plasma pipe and plate cutting systems and retrofit packages, and operates this website, its simulator, the estimate builder, the customer account area and the live chat. Our billing address is 432 Chinook Gate Sq SW, Airdrie, Alberta T4B 4V9 (a billing address, not a publicly accessible location). Our workshop is north of Spirit River, Alberta, and is not open to the public.
2. WHAT WE COLLECT, AND WHY
Information you give us
- Estimates: your name, and optionally your company, email, phone, city or province and notes, together with the configuration you built and its price. We use it to prepare your estimate, to follow up when you ask us to, and to prepare an order if you proceed.
- Call requests: your phone number and anything you tell us, so that our sales team can call you.
- Accounts: your email address (your sign-in) and a password we never see in clear text, plus the profile details above. An account keeps your estimates, orders, invoices and your messages with our sales team in one place.
- Messages and live chat: what you write to us, the name you give, and the page you were on. Live-chat conversations from visitors without an account live in that visitor's browser session and are kept on our side so that we can answer and follow up.
- Telegram linking (optional): if you add a Telegram username to your profile so that we can send you build updates, we store that username and the chat identifier Telegram gives us.
- Orders and payments: the details needed to invoice you and to record the payments you make. We do not take card payments on this site and never hold card numbers.
- Acceptance records: when you accept this policy and the Warranty & Terms of Sale, we record the version accepted, the time and the browser used, so that both of us can show what was agreed.
Information collected automatically
- Site telemetry: a random identifier stored in your browser, the pages you visit, whether you used the simulator or started an estimate, and the site that referred you. It contains no name or contact detail and we use it only to understand how the site is used.
- Technical data: the browser and device type sent with your requests, and server logs kept by our hosting provider for security and to keep the service running.
We do not use advertising cookies, tracking pixels or third-party analytics networks.
3. CONSENT
We collect, use and disclose your personal information with your consent, which you give when you tick the acceptance box before entering your details, when you create an account, or when you write to us. Where the purpose is obvious from the context, such as giving us your phone number so we can call you, your consent is implied for that purpose. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice; if you do, we may no longer be able to provide the estimate, order or support you asked for.
4. HOW WE USE IT
- To prepare and send estimates, quotes, orders and invoices, and to build, deliver, install and support what you buy.
- To answer your questions and call you when you ask us to.
- To keep records that the law and our warranty require, including acceptance records and payment records.
- To keep the service secure, prevent abuse, and understand how the site is used.
We do not send marketing email. We do not make automated decisions about you.
5. WHO WE SHARE IT WITH
- Our own sales, manufacturing and administrative staff, who see only what their role needs.
- Google Firebase (Google LLC), which hosts our database and sign-in service, and Vercel Inc., which hosts the website and its functions. Both may store and process data on servers in the United States.
- Telegram FZ-LLC, whose messaging service carries the notifications our staff receive (for example a new estimate with your name and phone number) and any build updates you choose to receive by Telegram. Telegram's servers are outside Canada.
- Carriers and suppliers, to the extent needed to ship a package to you (your name, address and phone number).
- Professional advisers and authorities where the law requires it, or to establish, exercise or defend a legal claim.
We do not sell, rent or trade personal information, and we do not share it with advertisers.
6. STORAGE OUTSIDE CANADA
Because our hosting, database and messaging providers operate outside Canada, your personal information may be stored or processed in the United States and elsewhere, and may be accessible to the authorities of those countries under their laws. Under section 13.1 of PIPA you may ask us how we protect information held by service providers outside Canada, and who to contact about it, using the contact details below.
7. HOW LONG WE KEEP IT
- Estimates and call requests: up to 2 years after they were created, unless they become an order.
- Orders, invoices, payment records and acceptance records: 7 years after the transaction, as Canadian tax and commercial law require.
- Account profiles and messages: for as long as the account is open, and up to 1 year after it is closed.
- Live-chat conversations from visitors without an account: up to 1 year.
- Telemetry: 2 years, in aggregate form only after that.
8. HOW WE PROTECT IT
Data is encrypted in transit, stored with access rules that limit each role to what it needs, and sign-in is handled by a dedicated service with hashed passwords. Our staff receive notifications through a private messaging bot that speaks only to the accounts we have linked. No system is perfectly secure; if we learn of a breach that creates a real risk of significant harm to you, we will notify you and the Office of the Information and Privacy Commissioner of Alberta as PIPA requires.
9. YOUR RIGHTS
You may ask us for access to the personal information we hold about you, ask us to correct it, ask how it has been used and to whom it has been disclosed, and withdraw your consent. We answer within 45 days as PIPA provides, and may charge a reasonable fee for access requests as the Act allows. If you are not satisfied with our answer you may complain to the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).
10. CHILDREN
Our products and this site are for businesses and adults. We do not knowingly collect information from anyone under 18; if you believe we have, contact us and we will delete it.
11. YOUR AGREEMENT WITH US
Accepting this policy is a condition of giving us your details, opening an account, or ordering from us. By accepting it you also accept our Warranty & Terms of Sale, which form one agreement with this policy. In particular you agree that, should anything go wrong with a product or service you bought from us, you will bring it to us first and use our warranty and service process to its full extent, as set out in the Warranty & Terms of Sale, before taking any legal action about it. Nothing in this paragraph removes any right you have under a law that cannot be contracted out of.
12. CHANGES
We may update this policy. The version date at the top changes when we do, and the version you accepted is recorded with your estimate or account. Material changes are posted on this page.

Our Privacy Officer can be reached in writing at Techni-Cope Systems, Privacy Officer, 432 Chinook Gate Sq SW, Airdrie, Alberta T4B 4V9, or by requesting a call at techni-cope.app, or through the messages in your account.
